Administrative Services
Community Partners will serve the board of directors and owners as agent, consultant, and overall administrator of the association. On behalf of the board Community Partners will communicate with the owners, enforce rules, maintain association records and coordinate board meetings. Below is a detailed description of the services you can expect from Community Partners
Customer Service
Customer service is our number one priority. We utilize a team approach to managing your property. Instead of a singular point of contact or a designated "property manager", you have our entire team at your disposal. By utilizing "shared property correspondence channels" each question, phone call, email, concern, maintenance request or comment comes directly to our entire team. This way, you know there will be someone on the other end of the phone (or keyboard). No waiting around for days to get out a notice, check in on the status of a bid, or schedule a meeting!
Serving the Board of Directors
As the community manager, we will serve the board and do the leg work required to respond to owner needs in a timely manner. Community Partners will act as a buffer between owners and the board. This will allow the board members to hold owners accountable to rules and regulations, respond to maintenance requests (both in-unit and common area) and issue notices with ease.
Community Partners will also represent the board's interests when dealing with employees, contractors, vendors, government bodies, accountants, and legal council.
Owners
Community Partners will assist owners by answering questions and providing documentation and general advice regarding community rules and regulations. Our in-house maintenance staff is available to owners at their request for any walls-in maintenance. Owners will also have access to our network of venders to use for any projects within their homes.
Real Estate Agents
Community Partners will provide assistance to real estate agents by answering questions relating to owner occupancy, association financials, structure, budgets and pending capital improvements. We will provide all pre-sale assessments, forms, questionnaires and copies of community documents to new owners
Community Records
Community Partners will keep and maintain all association records including:
Governing Documents, By Laws, Rules and Regulations
Service and Employment Contracts
Unit Owner/Tenant registrations and related correspondence
Financial Records, Statements and Tax Records
Meeting Minutes, Management Reports and other association correspondence
Act as the one-stop for all association records and documentation distribution
Community Governing Documents
Community Partners will aid in development or amending of Rules and Regulations, By-Laws, Policies, Owner Information, Procedures, etc.
Board Meetings
Community Partners will attend board meetings per the board's request and will contribute an agenda and management report to all members present. We will handle the distribution of notices to inform owners of meetings as well as the distribution of approved meeting minutes. The property manager will be available at the meetings to answer questions, offer input and contribute to the value the board brings to the community.
